Tenants Information

Our aim is to find you the perfect property to suit your requirements with the minimum of hassle.

Deposit
A security deposit of a minimum of one and a half month's rental will be required. This deposit will be treated in accordance with the Tenancy Deposit Protection regulations, and you will be informed of the registration details upon acceptance. We belong to The Dispute Service (TDS) which allows us to hold the deposit in client bank accounts, this also allows us to return deposits quickly once any disputes have been dealt with. The deposit is held to cover damage, breakages, and any other liabilities under the terms of your tenancy agreement. Please note that under no circumstances can the deposit be used by the tenant to cover rent.

Fees
We charge a modest fee per tenancy to cover administration and referencing costs. This is an initial set up charge only and we do not make any other hidden charges throughout your time with our agency. Standard fees are as follows: £100 + vat for the first tenant, plus an additional £50 + vat for each additional tenant if applicable. Please note that if a guarantor is required an additional charge of £50 + vat is also payable. Please be aware that these fees are non-refundable.


Finding a property
The first step is to contact us to provide brief details about yourself and about the accommodation you require. We then search our database for suitable properties for you to view. If not urgent, we log your details so that we can contact you as suitable properties become available. It is wise to start looking about a month to six weeks before you wish to move, as the nicer properties are viewed and reserved quickly. Our tenancies are granted for an initial minimum term of 6 months, which may be renewed if all parties are in agreement, by either a further fixed term contract, or the initial tenancy can continue on a 'rolling tenancy' basis.

  • Where appropriate, all of our managed properties are Gas Safe certificated, and inspected for electrical safety

  • All Tenancy Deposits (bonds) are held in accordance with the Deposit Protection Regulations.

Viewings
Viewings will be arranged at convenient times for both parties but do have to fit within our office hours, which are 9am - 5pm, Monday to Friday. We do ask that you please bear in mind we have to give any existing tenants 24 hours notice if access if required for viewings. Please be reassured that viewings will always be accompanied by a member of staff, who can give advice and answer any questions you may have.

Reserving the property
Once you have decided on a property, you will need to reserve it by paying the deposit, and also by paying our administration fee. Once accepted, Avalon Letting Agency guarantee that no further viewings will take place and the property will be reserved in your name whilst credit searches and references are undertaken. From receiving the deposit it will be assumed that you intend fully to occupy the house from the agreed date. Should you later decide that you no longer wish to take the property then an appropriate sum (calculated on a daily basis) will be paid from this deposit to the Landlord to compensate for loss of rent for the period involved. Alternatively should your references or any information given by yourself prove to be unsatisfactory or false and we are not able to resolve this then the appropriate sum will be calculated as above and given to the owner in lieu of the loss of marketing time.

References
As a minimum we will require satisfactory references from your employer and a previous or current landlord, and a credit reference report. If previous rental references are not available, for example if you have been living with parents or in your own home then we may also require a personal reference, and in some circumstances also require a guarantor. We use the services of an independent referencing company to complete the credit search, but check all other references ourselves, therefore contact details must be provided.

Rents
Rents are quoted per calendar month, and are payable monthly in advance. The tenant is usually also responsible for Council Tax, Water Rates, Gas, Electricity and Telephone costs. All rents are payable by bank standing order to our company bank account.

Reassurance That Many Agents Do Not Offer
As the lettings industry is still relatively unregulated, we strive to ensure that all of our clients feel protected and in safe hands when dealing with our agency. It is for this reason that unlike many letting agencies, we belong to numerous regulatory bodies (as detailed on the Home page), and we also have Professional Indemnity Insurance, and Client Money Protection to guarantee that your money is safely dealt with while it is held in our Client bank account.

Insurance for Tenants

As Introducer Appointed representatives for Endsleigh Insurance Group, we are able to provide details for a variety of insurance policies for both landlords and tenants, including the following

Further details are available on request. Even if you choose not to proceed with Endsleigh, we suggest that the tenant consider ensuring that you have adequate insurance to cover any accidental damages to the carpets or fixtures and fittings at the property. Having this insurance can prove to be extremely useful in avoiding losing any deposit at the end of a tenancy, should an accident have occurred.
